Most of us can spot a fake "personalized" email in about two seconds. It has our first name in the subject line and nothing else in it feels like it was written for us. If anything, it makes the brand feel more distant.
As business owners ourselves, we understand the challenge. You want subscribers to feel like you know them, but you can't write every email by hand. This is where AI can help, as long as you use it thoughtfully. Done right, it lets you personalize at scale without making people uncomfortable. Here is how.
1. Use dynamic content
Dynamic content means parts of an email change depending on who is reading it. Think product recommendations based on what someone has browsed, offers tied to their location, or images of the items they have been looking at. AI writing tools like Jasper and ChatGPT make it much faster to draft the different versions of copy each group needs, and Canva AI can help you produce matching visuals.
2. Segment your list
The more clearly you divide your list into meaningful groups, the more relevant each email can be. Look for what different groups of customers have in common, such as what they buy, how often, or how they found you, and then write subject lines, content and calls to action for each group. Language is a useful segment too: if some of your customers prefer Spanish, sending them emails written in Spanish (not just translated) shows you are paying attention.
3. Get personal, but not too personal
Generic one-size-fits-all emails get ignored. But using too much personal detail gets uncomfortable fast. Aim for the middle: a first name, a reference to a recent purchase, or a mention of their city is usually plenty. If a detail would make you wonder "how do they know that?", leave it out.
Finding the balance
AI makes email personalization far more practical for a small business than it used to be. The real skill is balancing relevance with respect for people's privacy. Get that right and your emails will feel like they come from a business that knows its customers, not one that is watching them.
